1. Who we are
SphereBytes Institute of Technology (SBIT) (“SBIT”, “we”, “us” or “our”) provides computer training and related educational services in Bangarapet, Karnataka, India. This policy applies to www.spherebytes.com, our course enquiry communications, and the SBIT tools used to manage Instagram comments and WhatsApp enquiries.
For privacy questions or requests, use the contact details at the end of this policy.
2. Information we collect
The information we handle depends on how you interact with us. It may include:
- Course and admission enquiries: your name, WhatsApp/phone number, qualification, town or location, course of interest, and information you choose to include in messages.
- Messages and conversation history: messages you send us and relevant message history used to answer enquiries, maintain context, and follow up on your request.
- Instagram comment information: publicly submitted comment text, Instagram username or available public account identifier, comment ID, media/post ID, associated post where matched, timestamps, and workflow status.
- Reply and administration records: reply drafts, settings, delivery/status indicators, and error records where these features are used.
- Technical information: limited server or security logs, such as request time and technical details, where recorded by our hosting or security systems.
Please do not send us passwords, one-time passcodes (OTPs), UPI PINs, payment card security codes, or other authentication secrets in messages or privacy requests.
3. How we use information
We use information for relevant and reasonable purposes, including:
- Responding to questions about courses, training, fees, batches, and admissions;
- Managing enquiries and requested follow-ups;
- Receiving and organising comments on SBIT Instagram content and, when the relevant feature is configured and enabled, preparing or sending replies;
- Maintaining records, troubleshooting integrations, preventing duplicate processing, and protecting the security of our services;
- Meeting applicable legal obligations and handling disputes or legitimate service issues.
We seek to use information that is relevant to these purposes and avoid using it for unrelated purposes.
4. Instagram integration
SBIT uses Meta’s Instagram platform and API to connect our professional Instagram account to an internal comment-management dashboard. Depending on the event and features enabled, the integration may receive and store comment text, available commenter identifiers, the comment ID, the related media/post ID, timestamps, and processing status.
Comment management features may include viewing comments, applying post-specific keyword rules, preparing reply drafts, and tracking the result of an enabled action. A saved draft does not by itself mean that a public reply or private message has been sent. Any automated action is subject to the configured settings, available API permissions, and Meta’s rules.
Comments posted publicly on Instagram may already be visible to other Instagram users. Please consider that before posting personal or confidential information in a comment.
Instagram is operated by Meta. Your use of Instagram is also subject to Meta’s own terms and privacy documentation: Instagram Privacy Policy and Meta Platform Terms.
5. WhatsApp enquiries and AI-assisted replies
If you contact SBIT through WhatsApp, we handle your phone number and the messages you send, along with relevant details you provide about your name, qualification, location, and course interest. We use these details to answer your enquiry and manage a requested admission follow-up.
When our AI-assisted WhatsApp response feature is enabled, your message and relevant conversation context may be processed by Google’s Gemini API to generate a suggested or sent response. The response can be incomplete or inaccurate; please contact SBIT directly to confirm important details such as fees, discounts, batch availability, and admission decisions.
WhatsApp is operated by Meta. Use of WhatsApp is also governed by its own terms and privacy policy: WhatsApp Privacy Policy. Google’s privacy information is available at Google Privacy Policy.
7. Data retention and security
We keep information for as long as reasonably needed for the purposes described in this policy, including responding to enquiries, maintaining operational records, resolving issues, and meeting applicable legal requirements. Retention can vary by data type and purpose. When information is no longer needed, we take reasonable steps to delete it or remove identifying details, subject to legitimate recordkeeping, security, and legal needs.
We use reasonable technical and organisational safeguards intended to protect information against unauthorised access, loss, misuse, or alteration. No website, transmission, or storage method can be guaranteed to be completely secure.
8. Your choices and privacy requests
You may contact us to request access to, correction of, or deletion of personal information associated with your enquiry or Instagram interaction. You may also ask questions about our use of information or withdraw permission for a use where applicable. We may need to verify your identity or locate the relevant record before acting.
To help us find the right record, please provide only the relevant identifier, such as your Instagram username, comment link/ID, or the phone number used to contact SBIT. Do not send passwords, OTPs, or payment credentials. We will review the request and respond as appropriate under applicable law. Some information may need to be retained for legitimate legal, security, or dispute-resolution purposes.
Request deletion or ask a privacy question: Contact SBIT on WhatsApp. You may also contact us using the details in Section 10 below.
